The Challenge

On paper, “connect an email tool to a CRM” sounds simple. In practice, this project came with several layers that needed to work together seamlessly:

We built the two-way sync engine to handle both outbound campaign emails and inbound replies, with matching logic designed specifically around Person Account fields rather than standard Contact fields.

Week 2 — Visibility, Alerts, and Follow-Up Logic With the sync running reliably, we turned to the experience for the internal team. Sent emails were surfaced directly on the Person Account activity timeline, so reps had full context without leaving Salesforce. We configured real-time notifications that alert the assigned user the moment a response comes in. Finally, we built a follow-up tracking mechanism that monitors received emails and automatically reminds the responsible team member if a reply hasn’t gone out within the expected window.

Throughout both weeks, we tested against real campaign data to make sure the sync held up under actual usage — not just in a clean sandbox environment.
